1. Purpose and scope

This Privacy Policy explains how Tech Media Éire handles personal data when people visit our website, contact us, become a client, take part in a business assessment or project, or otherwise interact with us. It is intended to reflect our current learning, process-improvement, knowledge-management, Microsoft 365 and related business-support services.

2. Who we are

Tech Media Éire is based in Limerick, Ireland and supports businesses across Ireland. For the personal data covered by this policy, Tech Media Éire will generally act as the data controller where we decide why and how that data is processed.

3. Personal data we may collect

·         Contact and business information, such as name, work email, phone number, job title and organisation details.

·         Enquiry and client information, including messages, meeting notes, project requirements, proposals and service history.

·         Project and operational material supplied for a project, which may include procedures, policies, training material, process information, screenshots, recordings or other business content. This material may contain personal data depending on what the client provides.

·         Billing and transaction information needed to issue invoices and maintain accounting records. Payment card details are handled by the relevant payment provider where applicable.

·         Website and technical information, such as IP address, device/browser information, pages viewed and cookie or analytics information where enabled and permitted.

4. How we use personal data

·         Respond to enquiries and arrange calls or assessments.

·         Prepare proposals, deliver agreed services and communicate about client work.

·         Analyse business processes, knowledge, training needs, documentation and systems where this forms part of the agreed service.

·         Create or improve agreed deliverables such as procedures, guides, training resources, knowledge structures, websites or workflow solutions.

·         Administer invoices, accounting and business records.

·         Operate, secure and improve our website, systems and services.

·         Send marketing communications where we have an appropriate lawful basis and provide an unsubscribe option.

·         Meet legal, regulatory, tax or other legitimate business obligations.

5. Lawful bases

The lawful basis depends on the context. We may rely on contract or steps requested before entering a contract, legitimate interests, consent, and legal obligation. Where consent is used, it can be withdrawn for future processing.

6. Client-provided information and processor activities

Some projects require a client to provide documents, recordings, screenshots, process information or other material. The client is responsible for ensuring it is entitled to provide that material. Depending on the service and the data involved, Tech Media Éire may process personal data on the client's instructions rather than for its own purposes. Where appropriate, those processing arrangements should be addressed in the relevant contract or data-processing terms.

7. Service providers and sharing

We may use service providers for functions such as Microsoft 365/cloud storage, website hosting, communications, accounting, payment processing, analytics or specialist software used to deliver an agreed service. We share personal data only where reasonably necessary for the relevant purpose, subject to appropriate contractual, security and data-protection arrangements.

We do not sell personal data to data brokers or advertisers.

8. International transfers

Some service providers may process data outside the European Economic Area. Where a restricted international transfer occurs, we use an appropriate transfer mechanism and safeguards required by applicable data-protection law, where relevant.

9. Retention

We retain personal data only for as long as it is reasonably needed for the purpose for which it was collected and to meet legal, tax, contractual, dispute-resolution and legitimate business requirements. Different categories of data may therefore have different retention periods. Project material should be reviewed at project close and retained, returned or deleted in line with the agreed client arrangement and any applicable obligations.

10. Security

We use proportionate organisational and technical measures designed to protect personal data, including access controls, account security and secure cloud services. No internet or storage system can be guaranteed to be completely secure.

11. Your data-protection rights

·         Request access to personal data we hold about you.

·         Ask us to correct inaccurate or incomplete data.

·         Request erasure where the legal conditions are met.

·         Request restriction of processing in applicable circumstances.

·         Object to certain processing, including direct marketing.

·         Request data portability where applicable.

·         Withdraw consent where processing is based on consent.

·         Lodge a complaint with the Irish Data Protection Commission.

12. Children

Our business services and website are not directed at children. We do not intentionally seek to collect children's personal data through our general business services. If a project could involve children's personal data, the specific processing and safeguards must be agreed before that data is provided.

14. Changes to this policy

We may update this policy when our services, website, systems, suppliers or legal obligations change. The current approved version should be maintained in the Tech Media Éire Knowledge and Training System and the public website version should be kept aligned with it.
